What information we collect, use, and why
We collect or use the following personal information to carry out a fair application process:
- Names and contact details, addresses, and dates of birth.
- Health information, including medical conditions, test results, allergies, medical requirements, and medical history.
- Dietary information and information about care needs, disabilities, home conditions, and general care provisions.
- Information about work, home and living conditions, and support requirements.
- Income, financial needs for funding or personal-budget support, and payment details including card or bank information for transfers and direct debits.
- Records of consent, where appropriate.
We also collect health information as special-category information. This receives additional protection because of its sensitive nature.
Lawful bases and data protection rights
Under UK data protection law, we must have a lawful basis for collecting and using your personal information. The lawful basis we rely on can affect your data protection rights.

- Right of access: ask us for copies of your personal information and details about where we obtain and share it.
- Right to rectification: ask us to correct or delete information you believe is inaccurate or incomplete.
- Right to erasure: ask us to delete your personal information.
- Right to restriction of processing: ask us to limit how we use your personal information.
- Right to object to processing: object to the processing of your personal data.
- Right to data portability: ask us to transfer information you gave us to another organisation or to you.
- Right to withdraw consent: withdraw your consent at any time where consent is our lawful basis.

Our lawful bases for collection and use
Our lawful bases for collecting or using personal information to carry out a fair application process are:
- Consent: we have permission after providing the relevant information. You may withdraw consent at any time.
- Legitimate interests: information is requested to allow the charity to carry out a fair application process, without causing an undue risk of harm.
Where we get personal information from
- Third-party sponsors, including representatives from Social Services, Health Services, Housing Associations, Tenancy Agencies, Carer's Centres, Citizens Advice Bureaus, and other charities.
How long we keep information
We retain personal information only for as long as necessary to fulfil the purpose for which it was collected, unless the law requires otherwise.
Successful grant applications
- We retain information relating to the grant application for six full financial years. For example, an award granted in May 2022 would be removed at the end of March 2029.
- Information may be retained longer where required for legal purposes.
Unsuccessful grant applications
- We remove information after one full financial year. For example, an application rejected in May 2022 would be removed at the end of March 2024.
Anonymised information, with personally identifiable information removed, may be retained longer than six full financial years for fundraising activities only.
